- DOCTOR DATA Label(tm) v5.1

- This is the addendum to the v5.0 manual for v5.1 of DOCTOR DATA
- Label. The following will explain the additions and/or changes
- made in DOCTOR DATA Label v5.1. There are not enough changes to
- merit a new manual at this time.

- 1) There are a few places in DOCTOR DATA Label where you are
- asked to enter a path to look for certain files or to export
- files. Some PC's would not accept a path that was in fact a
- correct path. This has been fixed and will now accept any correct
- path entered.

- 2) Filenames no longer have to start with an alpha character.

- 3) After selecting a database the insert mode is automatically
- turned on. From within the EDIT/ADD RECORDS command it may be
- turned off by pressing <Ins>. Before this version the insert mode
- would always be turned on when entering the EDIT/ADD RECORDS
- command. This no longer happens. It stays where it was the last
- time it was set until changed.

- 4) After selecting a database in earlier versions the marked
- records would be counted thereby slowing down the selection of a
- database as the database grows larger. This has been changed. The
- number of marked records are now saved in the definition file.
- One precaution that should be taken is that if you access the
- database with another dBASE III compatible product you DO NOT
- MARK any records for deletion.

- 5) When checking for duplicate records, pressing <Alt>-Q was
- supposed to quit the process, returning you to the RECORDS sub-
- menu. This has now been fixed. You are also now asked if you are
- sure you want to quit before quitting.

- 6) Zippy, our zip code database, will now also insert the city
- and state on already existing records by pressing <Ctrl>-Z. You
- will first be prompted for the zip code in the zip code field and
- then upon pressing <Enter> the city and state will be inserted
- into their appropriate fields.

- 7) Definition files are now automatically saved for each database
- created and selected for use.

- 8) Erasing, Renaming, and Copying files under the FILE MNGMT
- command was not working correcting on some machines. This has
- been fixed. The commands in the sub-menu has also been renamed
- and two new commands have been added.

- 9) Printer codes may now be renamed. They are named, by default,
- just as they were in version 5.0 however now the names can be
- changed. Remember that if you do change the names of the printer
- codes you must also change the names of any printer codes you
- have entered into any templates.

- 10) Two new commands have been added to the TOOLS sub-menu as
- mentioned above. They are DELETE FIELDS and VIEW ASCII FILE.
- DELETE FIELDS allows you to delete unwanted fields from an ASCII
- delimited file before importing. In version 5.0 and earlier these
- unwanted fields had to be imported into fields that were not
- going to be used. This was a problem if there were more unwanted
- ASCII fields than there were extra fields to dump them into when
- importing.

- The ASCII delimited file to be converted must have a ".TXT"
- filename extension in order to be selected from the directory
- file list. After the file is selected you are asked to enter the
- number of the fields to delete pressing <Enter> after each number
- entered. When finished press <Enter> on "0" to start the
- conversion process. A new file, CONVERT.TXT, will be created to
- hold only the fields that were not deleted. The original file is
- not changed. Before using this command you may want to use the
- VIEW ASCII FILE command to make note of the fields you wish to
- delete. You may also want to use this command to view the
- CONVERT.TXT file to be sure the conversion was done properly
- before importing.

- IMPORTANT: BEFORE RUNNING THIS PROCEDURE YOU MUST REMOVE ANY
- COMMAS FROM THE ASCII DELIMITED FILE EXCEPT FOR THE COMMAS
- SEPARATING THE FIELDS.

- The second new command VIEW ASCII FILE will allow you to view the
- first five records in an ASCII delimited file to make note as to
- the order in which the fields appear from left to right. This is
- needed when importing ASCII delimited files in order to import
- the fields into the right place in the DOCTOR DATA Label
- database. In earlier versions you had to exit to DOS to view the
- file.

- 11) You now have a choice of deleting duplicate records
- automatically or manually as before. It is recommended that they
- are deleted manually because not all records that have the same
- record content in one or two fields will have the same record
- content in the remaining fields. This feature was added for those
- who would rather delete perhaps a few records that they would not
- normally delete but do not want to take the time to delete
- duplicates manually. The original method of duplicate checking is
- explained in the manual.

- IMPORTANT: BEFORE RUNNING THIS PROCEDURE IT IS RECOMMENDED THAT
- YOU CREATE A BACKUP OF THE [FILENAME].DBF AND [FILENAME].DBT
- FILES IN CASE OF SOME MISTAKE.

- Upon executing the CHECK DUPLICATES command in the RECORDS sub-
- menu you are asked if you want to automatically delete duplicate
- records. By the way, the field(s) used for determining whether or

- not a record is a duplicate is the field(s) the currently
- selected index is indexed on. If you answer "Y", you will be
- informed if there are any currently marked records in the
- database. If there are any marked records in the database they
- will be deleted along with the duplicate records. You may at this
- time exit and unmark any records that you do not want deleted
- and then return back to this command. After the duplicates have
- been marked you will be informed of the number of records being
- deleted from the database as it is packed (same as the F6=Pack
- command in the EDIT/ADD RECORDS command).
